FAQ
How do I submit my camera ready version?
You should go to OpenReview and find your submission for EAMT 2024 (you can use the link sent in the acceptance email. Then you should go to the button "Edit" and select "Camera Ready". You will be able to change some details of your and upload the camera ready version. The camera ready version should be submitted by May 6th 2024.
How many pages should my final manuscript contain?
As stated in the conference calls:
Research: Technical → max 10 pages (plus unlimited pages for references and appendices)
Research: Translators & Users → max 10 pages (plus unlimited pages for references and appendices)
Implementations & Case Studies → approximately 4–6 pages, with a maximum of 10 pages -- plus unlimited pages for references
Project & Products → 2 pages (including references)
Please follow the guidelines for each track in order to avoid delays in the proceedings preparation.
What is the deadline for authors to register for EAMT 2024?
Authors' registration deadline is May 15th 2024. If you have issues with this deadline, you should contact the local organisers as soon as possible.
What is the authors' registration fee for EAMT 2024?
At least one author of each paper accepted to appear in the proceedings of the main conference needs to register at the standard in-person rate (i.e. not as a student).
EXCEPTION: if you are a student and either the single author of your paper or the first author of a paper in the Projects & Products track describing a student-led EAMT-funded project, please contact eamt2024@gmail.com to discuss your specific situation.
Guidelines for oral and poster presentations
All authors
In line with EAMT's effort to include as many participants as possible, all EAMT 2024 authors are requested to upload a short video about their work prior to the conference:
Poster presenters (Projects and Products track): Prepare a maximum 5-minute video presenting your poster’s topic in MP4 format.
Poster presenters (all other tracks): Prepare a maximum 20-minute video presenting your poster’s topic in MP4 format (please note that this can be shorter: 20 minutes is just the maximum of a oral presentation).
Oral presenters (all tracks): Prepare a maximum 20-minute video presenting your poster’s topic in MP4 format.
How to prepare your video:
An easy way to prepare the video is to use a Zoom session. Create your slides, start a Zoom session, share your slides, start recording, then give the presentation. This also gives you an opportunity to practice what you’ll present at the main conference.
For poster presenters: this presentation is different than the poster boaster talk because you will present and explain the main ideas of the poster. The focus of the poster boaster is to advertise your poster so that people will visit it in the poster session.
For oral presenters: this presentation can be the same or a different version of what you plan to present at the conference.
Name your short video MP4 file using this configuration:
FirstAuthorSurname_PaperTitle_Track
(you can shorten the paper title if needed)
Upload the file by June 14th (more instructions on how to upload your file will be confirmed shortly).
Posters
Prepare your posters for the conference
Our poster holders are vertical (portrait) and can accommodate posters up to the A0 size (841 mm x 118.9 mm).
Bring your poster with you on the morning of your own poster session. The exhibition space is adjacent to the conference auditorium. You can set up the poster in the morning before the conference starts and take it down at the end of the day. Conference assistants will be available to help with setup.
Prepare your Poster Boaster slides
Each poster is given 2 minutes for their pitch in the poster boaster session
Make a set of maximum of 2 slides about your poster. Name the file using this configuration:
FirstAuthorSurname_PaperTitle_Track
(you can shorten the paper title if needed)
Upload the slides by June 14th (we will confirm how to upload the slides shortly).
At the conference: Poster Boaster sessions
We will compile all slides of the Poster Boaster session into one slide set, so it is vital that you upload your slides by the deadline of June 14th. We will put them in the order that you see in the programme (TBC), and you will present your slides in that order too.
Before the start of the Poster Boaster, you will line up in order along one side of the auditorium. The conference organisers will be there to help.
Your presentation will be strictly limited to 2 minutes (120 seconds). At 90 seconds you will be given a signal. At the limit of 2 minutes, the session chair will gently push you along and welcome the next speaker.
Oral presentations
Before the conference: draft of slides
TBC: We may have interpreting at the conference and kindly request that all people giving oral presentations upload a draft of their slides by June 14th. You will receive an email with a link for uploading.
These will be used by the interpreters to prepare and they emphasize that these do not need to be in any way final slides. Even a very rough draft will help them to familiarize themselves with the topic and terms you will use.
Before the conference: final version of slides
Name your slides using this configuration:
FirstAuthorSurname_PaperTitle_Dayofpresentation
(you can shorten the paper title if needed)
Upload the slides to the appropriate folder (a link will be sent in a separate mail) by 7pm on the day before of your presentation. The slides will be loaded into the conference room’s computer.
It will not be possible to use your own laptop for presenting, or to upload presentations from a USB stick. It is therefore highly important that you upload your files by the morning of your presentation.
At the conference
Your presentation should last a maximum of 20 minutes. This will be followed by 10 minutes for questions. Please make sure you stay within the limit.
You will be shown signs indicating when you have 5 minutes left, then 2, 1 and STOP.
The main conference room is equipped with table, headset, or hand-held microphones.
Technical assistance will be provided.
